What the Access to Work scheme is
Access to Work is a grant from the Department for Work and Pensions (DWP). It helps people with a disability or long-term health condition get or stay in employment by covering some of the costs of specialist equipment, adaptations or support that go beyond what an employer would be expected to provide as standard.
The scheme does not pay for standard office furniture that any employee would receive. What it does cover is specialist equipment that an employee needs because of their specific condition. That might be a certified ergonomic chair for a back condition, a sit-stand desk for someone who cannot remain seated for long periods, or adapted peripherals for reduced hand mobility.
Grants are awarded to the employee and reimbursed to the employer after purchase. The current annual cap is £69,260, and grants typically run for up to three years before renewal.
There is no central approved supplier list or portal. Employers can buy from any supplier. Gosh Projects is experienced in supplying the specialist office furniture that Access to Work assessments most commonly recommend.

Ergonomic chairs
Access to Work covers chairs that are clinically specified for a particular condition: postural support chairs, saddle seating, chairs with specialist lumbar or lateral support, or fully adjustable models beyond the standard office range. We stock and can source a wide range of certified ergonomic seating to suit different needs and budgets.
Height-adjustable desks
Sit-stand desks are among the most common recommendations from Access to Work workplace assessors. We supply electric height-adjustable desks in single and back-to-back configurations, with memory presets, anti-collision systems and a range of desktop sizes and finishes. If an assessment has specified a sit-stand desk, we can match the brief.
Monitor arms and desk accessories
Monitor arms, keyboard trays, document holders, footrests and wrist rests all feature in Access to Work recommendations. We can supply these individually or as part of a complete workstation setup.
Adapted and bespoke workstations
Where an employee has specific spatial or postural requirements, we offer bespoke workstation options including cut-down desks, repositioned storage and custom configurations. We handle delivery and full installation, so there is nothing left for the employer or employee to assemble.
How the process works
The process is straightforward once the grant has been approved. Here is how it typically runs.
Step 1: The employee applies for the grant
The employee contacts the Access to Work helpline or applies online through the GOV.UK portal. DWP assesses their needs and, where relevant, arranges a workplace assessment to identify what equipment would help.
Step 2: DWP issues a grant decision
DWP issues a decision letter confirming what equipment has been approved and up to what cost. This letter is what the employer and employee need before placing an order.
Step 3: Contact Gosh to source the equipment
Get in touch and share the details of what has been approved. We will confirm availability, provide a quote and advise if there are equivalent options within the approved budget. Most specialist ergonomic items are available within two to three weeks.
Step 4: We deliver and install
We handle delivery and installation. The employee does not need to assemble anything, and the employer does not need to coordinate a third-party fitter. We set up the equipment and check it is adjusted correctly before we leave.
Step 5: The employer claims back from DWP
The employer pays our invoice, then submits it to Access to Work for reimbursement. DWP covers the approved proportion of costs, which is typically 80 to 100 percent of the specialist element. We provide clear, itemised invoices that make the claim process straightforward.

FAQS about the Access to Work Scheme
No. There is no central approved supplier register for Access to Work. The scheme does not restrict which supplier the employer uses. You can buy from any reputable furniture supplier and DWP will reimburse the approved costs on submission of an invoice.
Get in touch and we will tell you whether we can source it or whether we have a directly equivalent product that meets the same specification. In most cases we can match the brief or provide an equivalent that DWP will accept.
Yes. If the workplace assessment has recommended a full workstation setup (chair, desk, monitor arm and accessories), the grant can cover multiple items in a single order. We can quote for the full package and provide an itemised invoice for the reimbursement claim.

Most specialist ergonomic chairs and height-adjustable desks are available within two to three weeks. Some bespoke or custom items may take longer. We will confirm lead times when you get in touch and can factor in your employee’s return-to-work date if there is one.
We offer an aftercare service and can advise on adjustments or additional accessories if requirements change. If the original equipment is no longer suitable, we can advise on what a revised Access to Work application might cover.
Yes. If you need a DSE assessment before or alongside an Access to Work application, we can arrange that separately. Our assessors can review the workstation, identify what specialist equipment would help and provide a written report that supports a DWP application.
